From release 8.1, managers have the ability to change a time off request type when TOR is in a closed pay period and is in 'approved' status.  TORs that are left in pending status cannot be edited even with this feature turned on and must be re-entered by the employee or manager.
In order to use this feature, editing Time Off Requests (TOR) in a closed pay period must be turned on in Feature Configuration.

  • Feature name:  allowTOREditinginClosedPayPeriods


Once the Editing Time Off Requests feature is activated, follow the steps below to edit the Time Off Request.

  1. Access the Request Calendar tab in Time Off Requests (TOR)
  2. Select a TOR for an employee for a specific date
  3. To change the TOR type for the entire TOR request, select a new TOR type from the Type drop-down list
  4. To change the type for one day in the TOR request, from the Pay Allocations tab, select the new TOR type from the Type drop down list for the date you wish to edit. (You may also edit the hours in the Pay Allocations tab for the days you wish to edit)
  5. Once you click Approve, the Edit Time Off Request in a Closed Pay Period dialog box is displayed
  6. Select a back pay type from the Back Pay Type drop down list for both the old TOR type and the new TOR type. (You will also need to select a back pay Audit Reason)

Cause
  • In some countries, if an employee is on vacation and becomes ill, the employee is allowed to change his Time Off Type from vacation and use it as sick time. This is allowed even if the employee has already been paid for vacation. 
  • So if an employee submitted a Time Off Request (TOR), which was paid during what is now a closed pay period, a manager needs to be able to change the TOR type and hours to reflect this. 
Additional Information
  • You can modify a time off request type or hours in a closed pay period numerous times, until that back pay record is paid out
  • Editing any part of a TOR in a closed pay period will automatically create a back pay adjustment
  • Affected employees can view the edits on the Accruals tab in Employee Self Service
  • In Timecard Statement, if a pay adjustment was created as a result of a TOR, when you click on the adjustment, you will be taken to the original time off request record
  • The Back Pay task now shows TORs that were edited in a closed pay period as display only
  • The day the TOR edit occurs must be later than the last reset day of the accrual
  • If TOR changes are made in a closed pay period prior to the accrual reset date, the accrual will have already cleared out
  • If using this functionality to edit in a closed pay period, managers should not be making changes using the "open pay period" utility
  • It is advised to not reopen a pay period if back pay records exist
  • It is not currently possible to import or process API cancellation requests for TORs in a closed Pay Period. Such edits must be performed manually within the UI.
